Salon and spa automation in Dubai: a full diary without stopping mid-appointment

Your stylists and therapists can't answer "how much for gel nails?" while they're with a client. Automation can: it quotes your menu, books the slot, reminds the client and brings them back when they're due.

Short answer

Salon and spa automation answers WhatsApp and Instagram DMs with your service menu and prices, offers real open slots, books hair, nails, lash and spa appointments, sends reminders before the visit and nudges regulars when they're due to rebook, in Arabic and English, at any hour. We set it up with OrcaFlo (from $14.99 a month + 2¢ per message, 14-day free trial).

The problem

The messages that pile up while your team is busy

Salon messages arrive when nobody can answer them: during appointments, between back-to-back clients, and late at night when someone is scrolling Instagram and decides they want a blow-dry tomorrow. How much is a lash lift? Is anyone free this afternoon? Can I have the same stylist as last time? Do you have a bridal package for five? What's your cancellation policy? Do you do home service?

Each unanswered message is a chair that might stay empty. And the bigger leak is quieter: regular clients who would happily come back for their next colour or refill, but nobody reminded them, so they booked wherever had a slot when they finally thought of it.

What we automate

Salon and spa workflows we set up

Quotes your menu

Services, durations, prices, packages and offers from the list you upload, so clients get an exact answer instead of "please call".

Books real slots

Suggests open times within your working hours, confirms the booking and passes on a stylist or therapist preference.

Reminders

A confirmation, then a reminder before the appointment, so fewer chairs and rooms sit empty. Clients can move it in the same chat.

Rebooking nudges

Timed follow-ups when a client is due for their next colour, refill or treatment. They stop when the client replies.

Instagram DMs & comments

The same assistant answers DMs and replies to "price?" comments with a private message, then books in the chat.

Quiet-day broadcasts

When Tuesday afternoon looks empty, a paced offer to your client list instead of hoping walk-ins appear.

What it looks like

A booking from an Instagram DM

Hi! Saw your post, how much for gel nails hands and feet?

Hi! Gel manicure is AED 120 and gel pedicure AED 140, or AED 230 together. Would you like to book?

Yes tomorrow afternoon, with the same girl as last time if possible

Tomorrow I have 2:00 pm or 4:30 pm. I'll note your preference for the same technician and the team will confirm it. Which time suits you?

4:30

Booked ✅ Gel mani + pedi tomorrow at 4:30 pm. I'll send you a reminder before your appointment.

Illustrative. Illustrative conversation, not a real client.

Prices in an example like this come from your own menu. The assistant passes the technician preference on with the booking rather than promising it, and your team can see and adjust every booking in the dashboard. Anything it can't settle, such as a complaint, a reaction to a treatment or a large bridal group, goes to a person with a push alert.

Retention

Rebooking: the automation most salons skip

New clients cost you ads and discounts. Regulars only cost a well-timed message. A rebooking flow uses the gap that makes sense for each service and sends a personal nudge when it's due:

  • Hair colour: a reminder a few weeks after the last colour, offering two open slots.
  • Nails and lash refills: a shorter cycle, timed to the refill window you set.
  • Spa and facial courses: the next session in a package, before the client forgets they have one left.
  • No-shows: a friendly follow-up offering a new slot, instead of losing the client.
  • After the visit: a review request on WhatsApp while the result is fresh.

Each follow-up stops as soon as the client replies, so nobody gets chased after they've answered. If your bookings live in a separate salon system with an API, rebooking reminders driven from that system's data can be built as Custom Automation.

Setup

Calendars, team and connection

OrcaFlo books into its own calendar with your working hours and blackout days, or connect Google Calendar so it only offers times you're free and adds each booking there; a Calendly or Cal.com link can be shared in the chat instead. You describe your team and who does what in the assistant's instructions, and it passes preferences on with each booking.

Clients can book at any hour, so a message at midnight becomes a booking for tomorrow. They can send a voice note, which is transcribed, or a photo of a look they like, which the assistant can read; your team can step into any chat to send before-and-after photos themselves.

OrcaFlo connects to the WhatsApp Business number you already use, in one of two ways. Meta's official WhatsApp Business API gives you the verified route; Meta bills its own per-message fees to your account, and messages sent more than 24 hours after a customer's last message need a Meta-approved template. A QR link to the WhatsApp Business app is quicker to set up and has no Meta fees, but it carries no green tick and some ban risk, because WhatsApp doesn't officially allow unofficial apps. We'll recommend one on the call. OrcaFlo's price is the same on both.

Pricing

What salon automation costs

OrcaFlo is $14.99 a month (Starter) or $100 a month (Done-for-you, where we load your service menu, packages and rebooking timings and keep tuning them), plus 2¢ per message. 14-day free trial, first 500 messages free, no setup fee, cancel any time. A payment processing fee is shown on each invoice, and Meta's fees on the official API are separate. For example, 3,200 messages in a month is $14.99 + $64 = $78.99 on Starter. See pricing.
